I am trying to create an internal corporate directory for our company?

Question

We currently have it in Word in columns but it is very hard to manage. Once you add or delete a person the alignment is off and has to be manually changed i.e. manually add returns or delete them so employee info stays together. Each page has division location on the top and then the 2 columns start - each employee's name,a tab and then phone number, a return then title, another return and then email address.  Below the employee information section is any plant locations for that division which are also listed in 2 columns. We do not have a database program that I am aware of.  Thanks for any input :)

You won't get around using some kind of database, you could create a simple excel database, but the best solution would be to install a web server such as apache, to handle information about your employee's, and allow for other improvements later on.

I would suggest installing PHP + MySQL together with the Apache HTTP server, but you may want to find/hire someone who can setup and maintain the infrastructure.

This has other advantages aswell, such as being able to access the database from anyware with a internet connection.

I would suggest you simply display output from the database in plain text/html, you should also be able to provide an downloadable version in word or pdf if needed, all through i havn't tried it myself.

An example would be http://php.net/pdf - Library for generating .pdf documents from .PHP scripts


Word files are a bit harder, but can be written using filesystem functions such as fwrite, see also: http://php.net/manual/en/ref.filesystem.php Word seams to do fine with HTML as markup, so use that for formatting. For editing existing files, it might be best to use com objects.
