how to contact about party?

Okay, so I'm throwing a sweet sixteen with my best friend Dean. When we found out we shared the same birthday, we decided we just had to! He didn't want to hire a party planner, especially because our party is almost a year away. But we've found it more difficult to plan it than we thought. We've finally agreed on a few different party venues, and he has contacted one. But whenever I get ready to contact them, I get really nervous. I know you have to be careful to sound a certain way, but I have trouble forming the words! How do I even start the first sentence??? I need to tell them that I am looking to book the venue for a joined sixteen birthday, the date, and the number of guests (easily 300 people). Is there anything else I should tell them so that I can get an accurate price quote? Again, how do I word it?! Thanks for your help, please respond. (:

    You have a good start. Make a list of the information you need to get from the representative. Things like size of the location, is it a flat per hour cost or a per head charge, do they cater or do you provide your own caterer. How far in advance you need to put down a deposit. What is the cancellation policy.

    You can start the conversation by saying you are planning an event for this specific date for about 300 people and you would like to get some information about their location. Say you want to know about pricing, catering, and so forth. Chances are, the person you are talking to has responded to this kind of question a hundred times before, and will start telling you everything you need to know. If the conversation gets awkward, you can ask them to mail you a flier about their rental policy and fees, then thank them for their help. You can always call back again to get more information if you need to.
