what is the best way to organize invoices?
i have a boat load of invoices in a shoe box and i want to organzie them by date and alphabetically by clients name so i can find them easier and call clients back with reminders etc. i am working for a friend who has a carpet cleaning business and hes got so many invoices in shoe boxes all crimpled up.

26 shoe boxes. One for each letter of the alphabet. Actually, you don't need 26, for instance x,y, and z could all be in a single box. You can also purchase a scanner and scan each invoice and have them put in computer files or folders. If or when your boss needs them it's 4 clicks away from being printed on a nice crisp paper. Save money, save space, save time. However, if this plan makes it too easy, it could work against you. You don't want industrial like gadgets to replace you. This is how people get laid off. Make sure you still serve value to your boss so that he may continue to pay you.

Sales invoices should be numbered. Purchase Invoices should be in two piles, in date order. That is paid invoices and unpaid invoices.
Sales should be written up in a journal showing the dat, invoice number and amount. When paid the payment goes in the Journal as well, so you have a running balance and can see if invoice not paid.
It depends where the invoices go next. If they go to an accountant or book-keeper they will be charging you for putting bits of paper in order. Some people don't mind paying as it saves them any bother and they can get on with running their business.
