Help in sentence construction.?
I have one letter to be sent an advance copy by fax to about 5 different organizations; which is the right word to state in the note?
Copies of this letter were fax to etc, etc, etc, etc, and etc.
Or:
A copy of this letter was forwarded by fax to etc, etc, etc, etc, and etc.
I’ve been telling my colleagues that since there is only one subject, one letter; therefore the use of “A copy” is the right one.
However, they kept on insisting that since it was sent to several organizations, hence the use of “Copies”; representing 5 copies of the single letter.
Please help.

You are getting bogged down!
At the bottom of the letter, put....'Copy X, copy Y, copy Z', putting their names and positions, i.e. Copy; Mr Jones, CEO, Duraglex.

It would be "copies", because, you're talking in plural. If you were to say "A copy" was sent, it would mean the same copy was sent to everyone, not several different copies, just one copy.

"Fax to" is wrong. "forwarded by fax" (or "faxed to") is correct.
"A copy was sent to Bill Brown" is correct. "Copies were sent to Bill Brown and John Smith" is correct.
